Worship Ministry Budget & Fundraising [Q&A]

QUESTION From Christopher: At my church we are trying to jumpstart our music ministry again. There is a lot of things we need but don't necessarily have the funds for. My question is who holds the money for the music ministry needs? Like the trustees or should someone in the music ministry do so? Also, how can we get money so that we can purchase some of the things we need like paying musicians?
ANSWER by Ben Abu Saada: Thank you Christopher for such a great question. There are so many factors and ways in which an answer could go, I think the best way to answer would be to explain some of how the ministry I'm a part of functions.
As the Worship Pastor, I submit a proposed budget for the year which goes to our Executive Pastor, Accountant and our Board which consists of members of our church body. It is reviewed then adjusted according to church-wide needs. No change is made without first consulting myself and my ministry leaders. After the adjustments, we then agree together on what our budget for the upcoming year will be. It is then the Worship Ministry Department's job to stick to that budget the following year. If I want to purchase something, I go purchase it. If it's over a certain dollar amount, say $1,000, I may need a second sign off from the Executive Pastor or Accountant. This helps them to keep track of major purchases within the church body. You never know what the children's ministry may be purchasing at the same time. If something comes up that was unexpected (let's be honest, things break), I usually have to talk to our Executive Pastor or Accountant to find an agreed upon place where that money will pull from.
Your second question really could be broken in three parts:
1. How can we raise money?
2. How can we purchase things we want?
3. How do we pay musicians?
I would encourage you to consider putting a plan together for creative ways to raise funds. If your church doesn't function with proposing yearly budgets, you might consider also putting together a set of values and things you think would take your worship ministry to the "next level". Propose them to your Sr. Pastor and leadership explaining how these things will help your church body worship the Lord on a weekly basis. Once you've got the senior leadership buy in, you should then be able to make some advances on equipment etc.
In our ministry, we don't pay musicians. I can't answer your question as to how you do that, but I would encourage you to ask if that's a route you truly feel needs to take place. Personally, I prefer to keep the worship ministry team at a "this is your service to the Lord" level. I do understand that there are those weekends where you lose a key player and feel it's necessary to fill that void. It's a path I always prefer to avoid. There have been times when a drummer was not available. Instead of hiring one, I've scrapped the usual set up and made the weekend an acoustic one. I've also used those times to give the other team members a rest and jumped up there with my acoustic guitar alone or with a friend. You might be surprised at how peeling back the layers can refresh and revive the congregation's corporate worship time!
